Investor Relations Data Upload Instructions v2 (replace and rename)

This article will guide you through uploading data for investor relations

Understanding relations

  • Investors do not require prior data
  • Investors are required for Contacts and Investment Vehicles
  • Contacts and Investment Vehicles are required for Contact Roles
  • Funds do not require prior data
  • Investment Vehicles and Funds are required for Capital Commitments

Preparing the data templates

Notes

  • The templates and mappings are attached below in one zip file (please unzip before using)
  • Notes are available on most columns for clarification

  • Columns are color-coded
    • Gray columns are unrelated to the current tab, they are provided for visual reference when working with multiple sheets
    • Green columns are required fields
    • Orange columns are not required but commonly added fields

Templates and Column Definitions

Investors & Investment Vehicles

  • These templates can be prepared on one sheet then copy & pasted into the other. *NOTE: COLUMN A is different between the two
  • Investor Template required fields
    1. Record Type: This will either be Investor or (rarely) Advisor
    2. Investor Name: This should NOT be the same as the related Investment Vehicle or Contact. Instead, if unsure what to add, using only the last name of the contact, or a shortened form of the investment vehicle is common.
  • Investment Vehicle Template required fields

    1. Record Type: This will always be Investment Vehicle

    2. Investor Name: This must match the Investor name in the system EXACTLY (including commas and periods)

    3. Investment Vehicle Name: This is the legal name of the investing entity or person that what will show up on Capital Calls, Quarterly Reports, etc

Contacts & Contact Roles

  • These templates can be prepared on one sheet the copy & pasted into the other. *NOTE: duplicate contacts must be removed from the contact page
  • Contact required fields
    1. Investor Name: This must match the Investor name in the system EXACTLY (including commas and periods)
    2. Contact Name: First and last name
    3. Email: REMOVE all duplicate contacts
  • Contact Role required fields
    1. (for reference only)
    2. (for reference only)
    3. Email: This must match the Email of the contact in the system EXACTLY
    4. Investment Vehicle: This must match the Investment Vehicle name in the system EXACTLY (including commas and periods)
    5. Contact Roles: Include all applicable contact roles. The general setup for "all" permissions is below:
      • Capital Call; Financial; Stock Distribution; Cash Distribution; Fundraising; Legal; General; Tax; Portfolio
    6. Update Contact Details: TRUE or FALSE (leave as FALSE if unknown) 
    7. Update In-Kind Details: TRUE or FALSE (leave as FALSE if unknown) 
    8. Update Tax Details: TRUE or FALSE (leave as FALSE if unknown) 
    9. Update Vehicle Details: TRUE or FALSE (leave as FALSE if unknown) 
    10. Update Wire Details: TRUE or FALSE (leave as FALSE if unknown) 

Capital Commitments & Funds

  • Capital Commitment required fields
    1. Fund Name: This must match the Fund name in the system EXACTLY (including commas and periods)
    2. Investment Vehicle Name: This must match the Investment Vehicle name in the system EXACTLY (including commas and periods)
    3. Commitment: Enter only the dollar value, no commas or symbols
  • Fund required fields (for low-volume, manually enter these in FundPanel)
    1. Fund Name: The legal name of the fund as it is registered with the state in which the fund was formed. See the Certificate of Limited Partnership or search the applicable state business directory.

Saving the Templates as CSV

  1. For EACH worksheet (one at a time), follow these steps
    1. Open a new blank workbook in Excel
    2. Copy and paste the worksheet from the templates workbook into the blank workbook
    3. Save the workbook as a "CSV UTF-8" file

Upload Instructions Step-by-Step

Preparation

  • In theDataloader settings, set the Import Batch Size to 


Data Uploads (login steps are omitted)

  1. Upload Funds (no prerequisites)
    1. For low volume, skip this step and input these manually into FundPanel
  2. Upload Investors(no prerequisites)
    1. Use the Insert function
    2. "Step 2: Select Salesforce Object" - Search and select "Account (Account)"
    3. Select Browse and choose the relevant CSV file
    4. "Step 2b: (Optional) relate using lookup field" - Match RecordType : RecordType with Name
    5. "Step 3: Mapping" - Click Choose and Existing Map and select the Investors.sdl file (provided in the attachment below)
    6. "Step 4: Finish" - Ensure that a Results Folder is selected and press Finish
  3. Upload Investment Vehicles(requires Investors)
    1. Use the Insert function
    2. "Step 2: Select Salesforce Object" - Search and select "Account (Account)"
    3. Select Browse and choose the relevant CSV file
    4. "Step 2b: (Optional) relate using lookup field" - Match Parent : Account with aduro__External_ID__c and RecordType : RecordType with Name
    5. "Step 3: Mapping" - Click Choose and Existing Map and select the InvestmentVehicles.sdl file (provided in the attachment below)
    6. "Step 4: Finish" - Ensure that a Results Folder is selected and press Finish
  4. Upload Contacts (requires Investors)
    1. Use the Insert function
    2. "Step 2: Select Salesforce Object" - Search and select "Contact (Contact)"
    3. Select Browse and choose the relevant CSV file
    4. "Step 2b: (Optional) relate using lookup field" - Match Account : Account with aduro__External_ID__c
    5. "Step 3: Mapping" - Click Choose and Existing Map and select the Contacts.sdl file (provided in the attachment below)
    6. "Step 4: Finish" - Ensure that a Results Folder is selected and press Finish
  5. Upload Contact Roles(requires Investors and Investment Vehicles)
    1. Use the Insert function
    2. "Step 2: Select Salesforce Object" - Search and select "Contact Role (aduro__Contact_Role__c)"
    3. Select Browse and choose the relevant CSV file
    4. "Step 2b: (Optional) relate using lookup field" - Match aduro__Account__r : Account : Account with aduro__External_ID__c and aduro__Contact__r : Contact with aduro__External_Id__c
    5. "Step 3: Mapping" - Click Choose and Existing Map and select the ContactRoles.sdl file (provided in the attachment below)
    6. "Step 4: Finish" - Ensure that a Results Folder is selected and press Finish
  6. Upload Capital Commitments(requires Investment Vehicles and Funds)
    1. Use the Insert function
    2. "Step 2: Select Salesforce Object" - Search and select "Capital Commitment (aduro__Capital_Commitment__c)"
    3. Select Browse and choose the relevant CSV file
    4. "Step 2b: (Optional) relate using lookup field" - Match aduro__Fund_Name__r : aduro__Fund__c with Name and aduro__LP_Entity__r : Account with aduro__External_ID__c
    5. "Step 3: Mapping" - Click Choose and Existing Map and select the CaptialCommitments.sdl file (provided in the attachment below)
    6. "Step 4: Finish" - Ensure that a Results Folder is selected and press Finish
