Email Redirecting Rule in Outlook 2016 for PC

Welcome to the Email to Salesforce user guide! This guide will walk you through how to set up your Outlook account to automatically redirect emails to your unique Email to Salesforce Address. When you redirect emails to your unique Email to Salesforce Address, the emails will be automatically added to the activity history of the related records in Salesforce.


Configuring Outlook Account Settings

Now that we have configured your Email to Salesforce settings in your Salesforce org, the next step is to configure your Outlook settings to be able to redirect emails to your unique Email to Salesforce Address.


Set up Email Redirecting Rule

Please note: setting up Outlook rule will allow you to automatically redirect emails to your unique Email to Salesforce Address.


From the File tab: 

  • Click Info.

  • Click Manage Rules & Alerts.




In the Rules Wizard:

  • Click New Rule.

  • Click Apply rule on messages I receive.

  • Click Next.





Email Filter Settings

Enter your company email address that you use in Outlook to email leads and contacts in the From section. Only emails received from the email address you specify can be redirected to your unique Email to Salesforce Address


Please note: This email address should be the same email address that you have entered in the My Acceptable Email Addresses list in Salesforce.


In the New Rule Creation Page:

  • Select from people or public group.

  • Click into people or public group hyperlink under Step 2.

  • Enter your company email address that you use in Outlook.

  • Click OK.

  • Click Next.




Email Redirecting Settings

Enter your unique Email to Salesforce Address that was automatically generated in Salesforce. Any emails that meet the rule criteria will be redirected to this email address.


Please note: Any emails that are redirected to this email address will also be redirected to your Salesforce Org and related to Leads, Contacts, Opportunities, and Accounts object.


From the New Rule Creation Page: 

  • Select redirect it to people or public group.

  • Click into people or public group hyperlink under Step 2.

  • Paste the Email to Salesforce link that you had copied earlier in the My Email to Salesforce section to the To section.

  • Click OK.

  • Click Next.




From the Rule Creation Page:

  • Enter My Email to Salesforce as the name of the rule.

  • Select Turn on this rule.

  • Click Finish.



You have completed the Email to Salesforce setup for your Outlook! Any incoming emails that meet your rule criteria will be redirected to your Salesforce Org.
