Set up Lightning Sync for Google Configuration in Salesforce

This guide will walk you through how to set up your Lightning Sync Configuration in Salesforce. Your Lightning Sync Configuration will determine the sync settings for Salesforce users who sync between G Suite and Salesforce. Salesforce administrator can set up Lightning Sync Configuration to decide which users or profiles will sync, whether contacts and events sync, which direction items will sync and what filters to create to limit certain contacts or events from being synced.

 

Set up Lightning Sync Configuration

This step kicks off the sync configuration process and determines how reps contacts and events sync between servers.

 

User Permission needed: Customize Application, Manage Users, Manage Lightning Sync.

 

In Salesforce setup:

  • Type Sync in quick find box.

  • Click Settings under Lightning for Google and Sync.

  • Click the dropdown arrow under Lightning Sync section.

  • Click New Config under Sync Settings and Check Status section.

  • Click New Lightning Sync Configurations.





In the Lightning Sync creation page:

  • Type Lightning Sync in the Name box. 

  • Select Active.

  • Choose either Users or Profiles in the Search box.

  • Move the Users or Profiles from Available Members list to Assigned Members list by clicking the Add icon.

 

 

Lightning Sync Directions

We recommend the data syncing direction to be Salesforce to Google. This option allows users to work off of both Google and Salesforce items while preventing duplicate data from entering into your Salesforce Org.

 

Under Data Settings for Contacts:

If your Salesforce administrator has selected Salesforce to Google as the Contacts Sync Direction then the next option under “If an Google contact matches multiple Salesforce contacts,” section can be ignored. This option is only applicable if Google data is syncing to Salesforce as well.

  • Select Salesforce to Google in Sync Direction picklist under the Contacts section. 



Under Data Settings for Events:

Your Salesforce administrator has the option to sync Google events to Salesforce. Events that are added to users calendars can also be synced over into Salesforce calendar. We recommend that you only enable this sync direction if your users works off of events in the Salesforce calendar. 

  • Select Don’t Sync in the Sync Direction picklist under the Events section. 

  • Click Save.

Lightning Sync Data Set Filter

Your Salesforce Administrator can create a filter criteria for the contacts that users can sync from Salesforce to Google. Lightning Sync excludes contacts and events that fall outside of the filters you set in the rep’s sync configuration.

 

Please note: Contact filters don’t apply to contacts syncing from Google to Salesforce. To prevent certain Google contacts from syncing to Salesforce, users can keep them out of the “Salesforce_Sync” folder in Google. 

 

Under Contact Filters section:

  • Select Selected Contacts in the Sync option.

  • Select User’s Records in Contacts.

  • Apply your filters accordingly.

  • Click Save.
