Editing Capital Account Records (Individual/Mass Edit)

Modified on Mon, 15 Oct 2018 at 05:10 PM

When Editing a Capital Account record, it is important to know:

  • Changes made to a particular Capital Account record do not affect any other existing Capital Account record(s).  For example, if you make changes to the Q118 Capital Account record, this will not automatically affect the existing Q417 or Q218 Capital Account records
  • The 'Opening Balance' field is directly editable
  • The 'Capital Balance' field is not directly editable as it is a custom calculation field:
    • 'Capital Balance' = 'Opening Balance' + 'Contributed Capital' - 'Distributions' + 'Management Fee' + 'Other Income/Loss' + 'Net Realized Gain/Loss' + 'Net Unrealized Gain/Loss' + 'Syndication Costs' + 'Transfer' + 'Contingent Loss'
  • The 'Contributed Capital' and 'Distributions' fields are not directly editable as they are custom calculation fields:
    • 'Contributed Capital' = Sum of 'Capital Call Amount' for all Capital Call records that exist for a Capital Commitment between the Capital Account record's 'Previous As Of + 1 Day' and 'As Of' dates.  The Capital Call record's 'Due Date' field is used for this calculation.
      • Exception:  If a Capital Call record has the 'Transferred' checkbox ticked, the Capital Call will not be included in the applicable Capital Account record's 'Contributed Capital' field calculation
    • 'Distributions' = Sum of 'Distribution Amount' for all Distribution records that exist for a Capital Commitment between the Capital Account record's 'Previous As Of + 1 Day' and 'As Of' dates.  The Distribution record's 'Distribution Date' field is used for this calculation.
      • Exception:  If a Distribution record has the 'Transferred' checkbox ticked, the Distribution will not be included in the applicable Capital Account record's 'Distributions' field calculation
    • EXAMPLE:
      • $10 Capital Call Due 12/31/2016 and $20 Capital Call Due 03/31/2017
      • $5 Distribution on 02/10/2017 and $10 Distribution on 04/01/2017
        • Capital Account:  Previous As Of 12/31/2016 and As Of 03/31/3017
          • Contributed Capital = $20    Distributions = $5
        • Capital Account:  Previous As Of 03/31/2017 and As Of 06/30/2017
          • Contributed Capital = $0    Distributions = $10

Please note: The only difference between editing an existing Capital Account record and creating a new Capital Account record:

  • When initially creating a new Capital Account record for a Capital Commitment, the 'Opening Balance' field of the new Capital Account record gets set initially to equal the 'Capital Balance' field of the Capital Account record directly before it. If there is no preceding Capital Account record for a Capital Commitment, the 'Opening Balance' field will get set initially to equal $0.00.  Once created, per above, the 'Opening Balance' field of an existing Capital Account record is editable - so a user can over-ride a potentially incorrect 'Opening Balance' value (if ever applicable)
  • EXAMPLE - *In this scenario, upon creation, Capital Account B's 'Opening Balance' initially gets set to equal $50 - the 'Capital balance' of the preceding Capital Account A record.  Subsequently, the user has the option to edit the 'Opening Balance' of any existing Capital Account record(s):
    • Capital Account A:  Previous As Of 12/31/2016 and As Of 03/31/2017
      • Opening Balance = $0    Capital Balance = $50
    • Capital Account B:  Previous As Of 03/31/2017 and As Of 06/30/2017
      • Opening Balance* = $50    Capital Balance = $200
