Using the KPI Data Collection Tool

KPI Data Collection in FundPanel


KPIs in FundPanel are captured within a portfolio company's financials. There are two ways financials are captured within FundPanel: 


1. Directly within the FundPanel system

2. User-submitted KPIs. These are metrics submitted by portfolio companies using a link generated by FundPanel. To read more about how to share this link with your portfolio, please view the article below: 


Creating and Sending Financial Requests


Each Company Summary record within FundPanel houses financials within a related list on the company's page. To view this related list, navigate to the 'Financials' section on the Company Summary page. A button is available to create a new financial record if you wish to input financials manually. This may prove useful for back filling historical data provided by a client or otherwise loading in information that the client has gathered outside of using our KPI Data Collection tool.



As depicted above, the 'New Financial' button on the Financials related list is how financial entries can be manually inputted into the database. This 'Financials' list is also where financial entries will display once they are submitted by portfolio companies.

FundPanel can also capture KPIs from external users. This provides a capture KPIs within FundPanel from your portfolio companies without requiring any FundPanel login.  


Below is an example of our default KPI Data Collection page as it appears when viewed by external users:



Once this KPI form is submitted, submissions will appear under the 'Financials' related list on the Company Summary associated with that entry.


Customizing the KPI Data Collection Page



FundPanel provides a default set of KPIs, however this layout can be customized to add and remove items as required by your KPI data collection practices. This section will cover how to take full control of the Financial Entry page and customize for your portfolio's needs.


The fields presented to your company portfolio on the financial entry page are controlled within the Financial object in your Salesforce org.


Navigate to Setup -> Create -> Objects -> Financial


There are two relevant sections within the Financial object pertinent to adjusting the KPI data reqest page. The first is the 'Custom Fields & Relationships' section, which allows you to add additional fields as needed. For assistance with creating custom fields, please refer to Salesforce's documentation, located here: https://help.salesforce.com/articleView?id=adding_fields.htm&type=0


The second section is the 'Field Sets' section, where you will find a 'Financial Entry' field set. Pressing 'Edit' for this field set will take you to a page where you can drag and drop fields both from and to the 'In the Field Set' section. Fields that were added above within the 'Custom Fields & Relationships' section will be available for you to display on this field set. Once you are done customizing this page, press 'Save' to ensure that your field set is updated.


Once the Financial Entry field set has been customized according to your needs, it will reflect across all financial communications that you send to your company portfolio.


Capturing and Reviewing File Submissions



Recipients of your KPI data request email will also have the ability to attach files to their KPI submission.  Once an entry is submitted, you can then navigate to that financial entry to view any documents that may have been attached to the entry. These files will be listed underneath the financial entry within the 'Documents' related list as 'Financial Entry Attachments'. They can also be found underneath the Company Summary object within the 'Documents' related list. 




To download and view attachments, press 'Financial Entry Attachments'. You will now have access to any files captured within this financial entry. Press 'View' next to any document to download and access that document. 


Note: If the 'Documents' related list is not visible, it may need to be added to the record's page layout. Please see this solution for how to add a related list such as this 'Documents' related list.
