Log Incoming Emails into Salesforce: Portfolio Contact

Please Note: You do not need to log both incoming and outgoing email. If you are intending to respond to an incoming email, then just log the outgoing response email. Lightning for Gmail will capture the entire email thread (outbound + inbound email) in the email that is logged into Salesforce.


Non-Existing Portfolio Contact: Logging Incoming Email into Salesforce

Before logging an incoming email into Salesforce, you will first need to create a Portfolio Contact, Company Summary, and Investment Opportunity record.

  • Click on the new incoming email in Gmail.
  • Once you click on an incoming email, Lightning for Gmail will recognize the email address in the From: field of the email message in Gmail and will automatically re-load the side panel with the record that matches the email address in Salesforce.
  • Lightning for Gmail will populate an "Add to Salesforce" button next to the record under the People section to indicate that the contact record does not exist in Salesforce yet. 
  • Click the Add to to Salesforce button. 
  • Select New Contact - Portfolio. (Refer to the Freshdesk Article here on how to add a Portfolio Contact and its related records to Salesforce)





After creating the Portfolio Contact, Company Summary, and Investment Opportunity record:

  • Click the Log Email on Send icon to log the email to the Portfolio contact, Company Summary record, and Investment Opportunity record in Salesforce.
  • Select the appropriate Opportunity record (if needed).
  • Click Save.
  • There will be a Check icon once the email has been logged on the appropriate records.

Please Note: Attachments are automatically logged. If you do not want to log an attachment associated with an email then deselect the attachment prior to logging the email.




Existing Portfolio Contact: Logging Incoming Email into Salesforce

Once you click on an incoming email, Lightning for Gmail will recognize the email address in the From: field of the email message in Gmail and will automatically re-load the side panel with the existing record that matches the email address in Salesforce.


1. In Gmail:

  • Click on the incoming email message in Gmail.

2. In Lightning for Gmail:

  • Click the Log Email on Send icon to log the email to the Portfolio contact, Company Summary record, and Investment Opportunity record in Salesforce.
  • Select the appropriate Opportunity record (if needed).
  • Click Save.
  • There will be a Check icon once the email has been logged on the appropriate records.
