Log Outgoing Emails into Salesforce: Investor Relations Contact

Please Note: You do not need to log both incoming and outgoing email. If you are intending to respond to an incoming email, then just log the outgoing response email. Lightning for Outlook will capture the entire email thread (outbound + inbound email) in the email that is logged into Salesforce.


Log Outgoing Reply Message: Non-Existing Investor Relations Contact in Salesforce

Before logging an outgoing email into Salesforce, make sure you have already created an Investor Relations Contact, Investor/Advisor Account, and Investor Opportunity record. 


1. Create Salesforce record

  • Click on the new incoming email in Outlook.
  • Click on the Reply icon in Outlook.
  • Click on the Salesforce View Icon in the top right of Outlook.
  • Once you click on the Salesforce Icon, Lightning for Outlook will recognize the email address in the To: field of the email message in Outlook and will automatically re-load the side panel with the record that matches the email address in Salesforce.
  • Lightning for Outlook will populate an "Add to Salesforce" button next to the record under the People section to indicate that the contact record does not exist in Salesforce yet. 
  • Click the Add to to Salesforce button. 
  • Select New Contact - Investor Relations.  (Refer to the Freshdesk Article here on how to add a Investor Relations Contact and its related records to Salesforce)






2. Log Email into Salesforce:

  • Type your outgoing reply email message in Outlook.
  • Click the Up Arrow icon next to People to log the email to the Investor Relations Contact and Investor/Advisors Account record in Salesforce.
  • Click the Up Arrow Icon next to Opportunity to log the email to the Investor Opportunity record in Salesforce.
  • The Up Arrow Icon will change to a Check icon once the email has been logged on the appropriate records.




3. Send Outgoing Email

  • Click Send button in Outlook.



Log Outgoing New Message: Existing Investor Relations Contact in Salesforce

Once you input an email address in the To: field of the New Message in Outlook, Lightning for Outlook will automatically re-load the side panel with the record that matches the email address in Salesforce.


1. In Outlook:

  • Click New Email icon.
  • Type your outgoing email message in Outlook.
  • Click on the Salesforce View Icon in the top right of Outlook.
  • Once you click on the Salesforce Icon, Lightning for Outlook will recognize the email address in the To: field of the email message in Outlook and will automatically re-load the side panel with the record that matches the email address in Salesforce.





2. In Lightning for Outlook:

  • Click the Up Arrow icon next to People to log the email to the Investor Relations Contact and Investor/Advisors Account record in Salesforce.
  • Click the Up Arrow Icon next to Opportunity to log the email to the Investor Opportunity record in Salesforce.
  • The Up Arrow Icon will change to a Check icon once the email has been logged on the appropriate records.



3. In Outlook:

  • Click Send button in Outlook.
