Editing & Updating Contact Roles

Using the Manage Contact Roles Tab

The Manage Contact Roles tab can be used to assign roles across multiple Investment Vehicles based on an existing Contact Role.  This tab is especially useful if you need to assign Investor Details roles before requesting updated LP information.  

To access the Manage Contact Roles Tab:

  • In the top Ribbon in Investor Relations click the “+”

  • Under All Tabs, click on Manage Contact Roles.

From here you can assign new contact roles based on an existing contact role.  You can also use this tab to delete roles as well.  

You can reference the below typically mapping for Investor Details roles to assign these roles based on existing.

Cash Distribution = Update Wire Details

Tax = Update Tax Details

Cash Distribution, Stock Distribution = Update In Kind Details

General = Update Vehicle Details

Any = Update Contact Details

 

 

To select Contacts based on existing Roles:

  • Use the Roles to Include and/or Roles to Exclude filters.

  • You will see the total number of Contact Roles that are now pulled in based on those Applied Filters and the number of roles selected.
  • By default all roles based on the Applied Filters will be selected.
  • You can select De-Select All Contact Roles if you would not want to include all Roles based on the Applied Filters.

  • You can also use the Search function to pull in Contact Roles for a particular Investment Vehicle, Contact, or email address/domain name.
  • To select only Contact Roles based on your Search parameter, click De-Select all Contact Roles and then click on the Check Box at the top of the list of Contact Roles that displays based on your search parameter.  
  • Verify the Number of Selected Contact Roles in the Applied filters section.

  • Once you have filtered your Contact Roles based on existing Roles or Search parameters, you can now assign new roles or delete roles by scrolling down to the Update Contact Roles section.
  • Here you can select a Role (or multiple Roles) to add to the Selected Contact Roles or Remove from the selected Contact Roles.  You can also delete the Contact Roles altogether.
  • Once you’ve selected the role, click on the button that corresponds to the action you want done.   

 

  • Your Contact Role Update will begin

  • And you will then see a summary of the successful updates made to contact roles.

Editing an Individual Contact Role

To access and edit a Contact Role:

  • Contact roles can be edited directly on the Contact record within the "Contact Roles" section:

  • On the edit page, press the magnifying glass icon to change the contact record associated with the contact role:

  • This will open a new window in which you can search for the contact record to be selected.


Once the new contact is designated, ensure the appropriate contact roles are assigned. If the contact needs access to the Investor Details tab, ensure that the appropriate checkboxes are selected under the Investor Details Update section. Then press "Save" to finalize the contact role update.

NOTE: If a contact has a large quantity of Contact Roles to move under a new contact in bulk, please reach out to support@fundpanel.io with details for the request. Salesforce offers a merge function for contacts that can prove useful for this type of task & the support team can either take care of the request or point you in the right direction if you are looking to do the merge yourself.
