This guide will walk you through the process of launching your investor portal with FundPanel.

TABLE OF CONTENTS

Data Entry & Data Import Completion

Inputting your investor data into FundPanel is the first step to ensuring a successful portal launch. The data input into FundPanel will directly influence what is surfaced to each LP portal account when LPs log in to the portal. Work with your implementation team to ensure LP data is entered correctly, including key LP info such as:

  • Contact & Contact Roles
  • Investment vehicles
  • Capital Calls
  • Capital Accounts
  • Distributions
  • Portal documents

Confirm your Fund Administration Firm's Contact Information

The Portal Access tab stores your firm's contact information and organization logo, which in turn surfaces to LPs when accessing the investor portal. It is important to ensure your information here is current so that your investor portal accurately reflects your organization.

For more information on the Portal Access tab and each section within the tab, please refer to the following article:

Previewing and Customizing the Welcome Email

When an investor's portal account is created, FundPanel will automatically send that investor a welcome email notice. This welcome email is meant to notify the LP that they have been invited to access their investor portal account for their investments with your firm, and it will contain a link allowing the LP to set up their account on FundPanel.

This welcome email can be reviewed and customized by you at any time. To preview the welcome email sent by FundPanel, you may visit the Portal Access tab within the Investor Portal app. From the Portal Access page, select the link named "Manage Email Template":

The page that opens will allow you to preview the welcome email notice. You may notice this page also allows the email template to be edited as well. The email editor on this page allows you to make any adjustments to the email template should you wish to change the appearance or language within the email notice.

Should you make any adjustments to the email template, be sure to press "Save Template" to ensure your changes are captured within the template.

With your template saved, be sure to navigate back to the Portal Access tab and press "Sync Welcome Email Template". This step must be performed to ensure your customized portal welcome email is used by FundPanel!

Once the sync is complete, your custom welcome email notice will now be used for all portal invitations moving forward.

Should you wish to customize the portal welcome email notice again in the future, simply follow the steps outlined above to repeat the process and make additional updates to your email welcome notice as needed.

Portal Admin Account Activation

Before launching your investor portal, ensure that every person at your firm requiring access to the investor portal is provided an account. Portal admin accounts can be set up from the Portal Admin tab.

To create a new admin account:

  1. Navigate to the Portal Admin tab
  2. Click on the Add Admin button
  3. Fill in the required information and save the new admin account

Portal Review

Once your portal admin accounts have been provisioned, log in to your portal admin account and perform a review of the LP portal. Portal admin accounts give you a direct view into exactly what each LP sees.

To review your investor portal:

  1. Log in to your portal admin account
  2. Navigate through the portal by Investment Vehicle and verify that your FundPanel data is accurate and properly displayed for Los
  3. Make any necessary adjustments or updates in FundPanel before launching the investor portal

Announcing Your Investor Portal Launch

It is recommended to send out an email announcement ahead of activating any LPs on the investor portal. This will ensure no investors are caught off guard by the the invitation to sign up for a FundPanel account.

Preparing an announcement for your investor portal launch can be done within FundPanel directly. From the Fund page, use the "Create Fund Communication" button to create a fund communication of the "General" type. This will allow you to prepare an announcement notice using our fund communication tool, similar to how you would prepare any other notice within FundPanel for fund activities such as calling capital.

Portal User Activation & Welcome Emails

Now that you have reviewed your investor portal and things look good, you are ready to invite LPs to the investor portal:

  • Navigate to the Investor Relations app.
  • Click the Portal Users tab.
  • Select the checkbox that corresponds to the appropriate contact that you want to enable as a Portal user.
    • NOTE: Contacts will only appear under this tab if they have Contact Roles associating them with Investment Vehicles. If a contact is not appearing on the Portal Users tab, please check to ensure that it has at least one Contact Role relating it to an Investment Vehicle.
  • Click Create Portal Users.
  • Refresh the browser, the contact's Request Status will update to 'Enable Completed' within 5 minutes as the system automates the process for sending out the Welcome Emails to the selected users.
  • You may also use the Resend Welcome E-mails button at any time to resend the welcome invitation at any time to the selected users.
  • If you encounter any issues at this point, please email FundPanel Support with your troubleshooting request, the affected Salesforce org and the list of affected users at support@fundpanel.io.

What if my LPs Encounter Portal Issues?

After completing the above steps, your investor portal will be live! The portal has a contact form & sophisticated error tracking should LPs encounter any issues. Any issues that LPs have with the investor portal will be resolved by the FundPanel support team. If the issue is not technical in nature, the request will be passed on to your team by the FundPanel support team.
